VOILADOC - Privacy Policy

Introduction

Voiladoc is a mobile application platform that connects patients with medical board-certified healthcare providers. Voiladoc can be accessed by patients via their tablets and smartphones by downloading the application from Google Play Store or Apple App Store. The brand Voiladoc and its copy rights are solely owned and operated by Meridional Health Pte Ltd, registered in Singapore (201939456E). Meridional Health Pte Ltd (“we”, “us”, or “our”) operates the website located at www.meridionalhealth.com, www.voiladoc.net, www.voiladoc.co, www.voiladoc.org and other related websites and mobile applications.

 

Our mission is to provide convenience for patients to access affordable certified healthcare services at any time, no matter where they are.

 

This Privacy Policy provides you a clear picture of how we collect, use and protect your personal data. In this regard, Please read the Privacy Policy carefully so that you can understand how Voiladoc collects your data, uses, and discloses information you give us or written about you when you use Voiladoc mobile application or the services rendered to you during the teleconsultation. We would urge you to spend a few moments to understand this policy. Accessing our websites or any mobile application owned and maintained by us or any of our affiliates or related businesses, including telehealth consultation, prescription, lab test, homecare, delivery, accessing online health store and/or any services available on or through any of our sites are conditional upon acceptance of Voiladoc’s Terms and Conditions, into which this Privacy Policy is incorporated by reference and this Privacy Policy is an integral part of. Hence by accepting the Terms of Use, you are consenting to the use and disclosure of your personal information as outlined in this Privacy Policy. If you do not agree to our Terms of User and/or do not consent to such collection, use and disclosure of your personal data, please do not access or use our sites and/or our services. 1. What Is Personal Data?

Personal data is defined by the General Data Protection Regulation (EU Regulation 2016/679) (the “GDPR”) and the Data Protection Act 2018 (collectively, “the Data Protection Legislation”) as ‘any information relating to an identifiable person who can be directly or indirectly identified in particular by reference to an identifier’.

Personal data is, in simpler terms, any information about you that enables you to be identified. Personal data covers obvious information such as your name and contact details, but it also covers less obvious information such as identification numbers, electronic location data, and other online identifiers.

2. What Are My Rights?

Under the Data Protection Legislation, you have the following rights, which we will always work to uphold:

  • The right to be informed about our collection and use of your personal data. This Privacy Policy should tell you everything you need to know, but you can always contact us to find out more or to ask any questions using the email address below on item no 14.

  • The right to access the personal data we hold about you. Item no 12 will tell you how to do this.

  • The right to have your personal data rectified if any of your personal data held by us is inaccurate or incomplete. Please contact us using the email below on item no 14.

  • The right to be forgotten, i.e. the right to ask us me to delete or otherwise dispose of any of your personal data that we hold. Please contact us at privacy@voiladoc.net to find out more. Do refer to item 11 for more details.

  • The right to restrict (i.e. prevent) the processing of your personal data.

  • The right to object to us using your personal data for a particular purpose or purposes.

  • The right to withdraw consent. This means that, if we are relying on your consent as the legal basis for using your personal data, you are free to withdraw that consent at any time.

  • The right to data portability. This means that, if you have provided personal data to us directly, we are using it with your consent or for the performance of a contract, and that data is processed using automated means, you can ask us for a copy of that personal data to re-use with another service or business in many cases.

  • Rights relating to automated decision-making and profiling. We do not use your personal data in this way.

Further information about your rights can also be obtained from the Information Commissioner’s Office or your local Citizens Advice Bureau.

If you have any cause for complaint about our use of your personal data, you have the right to lodge a complaint with the Information Commissioner’s Office. We would welcome the opportunity to resolve your concerns ourselves, however, so please contact us first, using the details in item no 14.

3. What We Collect?

The Personal Information we collect or maintain for normal business activities that the law sees as falling in the categories of healthcare operations, treatment and payment. Here are the details of what we collect and maintain:

  • Any users can download Voiladoc app from Appstore or GooglePlay and navigate around the app. Registration is only required if users want to book and appoint or purchase a product from our heath store.

  • For all new users, we require some basic information to get started. The mandatory information that we require are your first name, last name, date of birth, allergies, identity document, mobile phone number and a set of secret questions mainly for the purpose of account recovery.  If registered user changes their phone or reinstall Voiladoc app, users only require to provide their phone number and a One-Time-Passcode will be sent to validate them as an actual user.

  • To better understand you, we require some optional information like your vital statistics, current medication, breast feeding, pregnancy, and medical questionnaire before seeing the doctor.

  • Health Information or symptoms that you provide us, which may include information or records relating to your current illness, with images and videos where needed or health history, diagnostic images, laboratory testing results and other health related information.

  • Prognosis and/or health information about you prepared by the health care provider(s) who provide the selected services through Voiladoc app or site such as medical records, treatment and examination notes, and other health related information.

  • Billing information that you provide us (e.g. credit card, mobile payment or online payment system account information);

  • In some circumstances, you may provide Information about your devices such as computer, tablets or mobile phone device you are using, such as what Internet browser you use, any specific applications you are running or even software build versions which may cause issues while you are communicating through Voiladoc app and other information about how you use Voiladoc platform and services.

 

4. What Will We Do with The Information We Collect?

  • To provide you with an uninterrupted service connecting you with the healthcare providers.

  • To ameliorate services provided by healthcare providers on Voiladoc platform – by initiating frequently quality review checks.

  • To disseminate service, health tips and system updates when available.

  • To promote Voiladoc platform and services offers by healthcare providers who provide their services on Voiladoc.

  • To arrange for the delivery of our products.

  • Any other reasons for which you authorize us to use your personal information.

  • To separate your healthcare information which you give us in a separate HIPAA compliant data store. This method is call de-identification information such as aggregate statistics relating to the use of Voiladoc platform and your own healthcare data. We may use De-Identified Information created by us without restriction.

5. We May Also Disclose Personal Information That Either We Collect Or Provided In Accordance With Local Laws.

  • To our own subsidiaries, our related companies and business affiliates.

  • To our service providers and other third parties who are contractually bounded, whom we use to support our business. These external parties have contractual obligations to only use the personal information for the purposes for which we disclose it to them.

  • To disclose information by court order or to response to a government request for investigation or general safety purposes.

  • To other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution or other sale or transfer of some or all of Voiladoc assets, whether as a going concern or as part of bankruptcy, liquidation or similar proceeding, in which personal information maintained by our platform is among the assets transferred.

  • To any other person or organisation disclosed by us based on your consent or instructions.

 

6. Some Information We Collect with Our Technology

  • Real-Time Location. Certain features in our browser and mobile application will use GPS location base technology to collect real-time information about the location of your device so that we can accurately connect you to the closest health care provider. When accessing Google Maps services on our Site, you are agreeing to Google's Terms of Service and Privacy Policy.

  • Mobile Services. We could collect non-personal information from your mobile device. This information is generally used to help us deliver the most relevant news to you. Examples of information that may be collected and used include how you use the application and information about the type of device or computer you use. In the event Voiladoc crashes on your mobile device we, will receive information about your mobile device model software version and device carrier. This would allow us to identify and fix bugs and otherwise improve the performance of Voiladoc.

 

7. Data Protection, Security and Compliant

Privacy is important for us and thus, the security measures we have taken meets reasonable security arrangements which are of internationally recognized standard. Our application and database, audio and video communication and storage are hosted in a HIPAA compliant facility. We have also applied GDPR guidelines to make sure fairness, transparency and data minimisation is strictly followed to make sure user have full rights to their own data.

 

  • Voiladoc is designed with data security and privacy in mind.

There are 3 levels of security within Voiladoc solution ecosystem.

At the application level, all communications within Voiladoc is done through a secure channel for all communications to identify the user with authentication and rights authorization for data access. At the network level, we employ 256-bit encrypted secure SSL certificate for all our connections from application to the database.

At the database level, patient data is isolated in its own data island. The data is encrypted and stored using 256-bit SHAI key.

  • Audio and Video data

All audio/video communication is securely encrypted (256-bit AES) and transmitted from point-to-point such that even Meridional Health executives and employees does not have access to any identifiable health information that may be communicated.

  • Prevent unauthorize access

We have put all these measure with the objective of protecting your privacy and personal data, to such extent as we deem reasonably appropriate in our sole discretion to prevent unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks. However, there is no such thing as "perfect security" and we do not guarantee in any way, and you should not expect, that your personal data or private communications will always remain private and/or safe from any abuse or misuse by third parties.

  • Our employee’s obligation

Meridional Health employees are required as part of their employment contract to treat personal data held by Meridional Health as confidential, and to maintain the confidentiality of that personal data and immediately report any breach of personal health information.

  • Report violations

If you feel there has been some violations done on your data, you can report by sending us an email at privacy@voiladoc.net. Please provide your name, telephone number and postal address when you write to us. This will speed up the process of responding to your request.

8. Updating Our Privacy Policy

From time to time, we will update our policies but, we will notify you when we do so. This may be necessary, for example, if the law changes, or if we change our business in a way that affects personal data protection. Any changes will be immediately posted on Voiladoc application and website. By continuing to use our products and services after any such changes, when we have notified you of them, the way we use your personal data will be subject to the most updated terms of the policy.

 

9. Children Under Age 18.

Anyone under the age of 18 are not allowed to register on Voiladoc platform. We will not knowingly allow individuals under the age 18 to create Accounts.

 

10. Governing Law

This Privacy Policy is governed in accordance with Singapore law, without giving effect to any principles of conflicts of law. By using Voiladoc and/or our Services and providing personal data or information requested, you agree to submit to the exclusive jurisdiction of the Singapore courts.

 

11. Information Deletion

If you require some of your personal information to be deleted. This can be done by sending us an email to privacy@voiladoc.net. However, in some case, we may be required (by law or otherwise) to keep this information and not delete it (or to keep this information for a certain time, in which case we will comply with your deletion request only after we have fulfilled such requirements). Thus, the deletion process will take up to 30 days from the time we receive your email request. If you wish to close your account, this request can be sent to the same email address. Once account is closed, we will delete your information from our active database. However, we may retain a copy of the information for archival purposes, and to avoid identity theft or fraud. Processing time will still take up to 30 days from the time we receive your email request to close your account. We will no longer use your account information or share it with any third parties. If old data which has previously been expose to any third party, we no longer can access them and we cannot force the other parties to delete the data.

 

12. How Can I Access My Personal Data?

If you want to know what personal data, we have about you, you can ask us for details of that personal data and for a copy of it (where any such personal data is held). This is known as a “subject access request”.

All subject access requests should be made in writing and sent to the email in item no 14. Do provide your name, email address, telephone number where we can reach you and your postal address. Give is as much details as possible to so we can respond to your request as quickly as possible.

There is not normally any charge for a subject access request. If your request is ‘manifestly unfounded or excessive’ (for example, if you make repetitive requests) a fee may be charged to cover our administrative costs in responding.

We will respond to your subject access request within 30 days of receiving it. Normally, we aim to provide a complete response, including a copy of your personal data within that time. In some cases, however, particularly if your request is more complex, more time may be required up to a maximum of three months from the date we receive your request. You will be kept fully informed of our progress on email.

 

13. How To Update Personal Data

It is important that your personal data is kept accurate and up to date. If any of the personal data we hold about you changes, please keep us informed as long as we have that data. You will be able to send requests to modify any of your information by sending an email to privacy@voiladoc.net
